This guide describes the new Engagement Actors functionality included in Kimble Release Summer 18. We have also attached a .pdf version for your convenience.
In Kimble’s Summer 18 Release, Kimble has introduced the ability to designate Kimble users and /or Salesforce Contacts as actors with specific roles on a Delivery Engagement. These users and Contacts can be added through a new screen from the Delivery Engagement menu.
This new interface provides Project Managers a single details table which lists all client actors that are important to the success of a Delivery Engagement, as well as their role in ensuring that success.
When adding a Delivery Group Actor to a Delivery Engagement, you will:
- select either a Kimble user or a Salesforce Contact
- select an Actor Role.
Any Kimble users can be added as Actors to a Delivery Engagement, including customer users accessing a Kimble Customer Community using a Communities license. (Kimble introduced Customer Communities in its Winter 18 Release.)
Kimble is a Salesforce-native application and utilizes Salesforce’s Contacts feature. You can add Contacts on any Salesforce Account, helping you keep track of important people at a client/prospect.
The Actor Role of an Engagement Actor defines the role they will play on a Delivery Engagement. Examples include Project Lead, Client Project Manager, Sponsor, and Testing Lead. A pre-defined list of Actor Roles must be setup so that the appropriate role can be associated with the Delivery Group Actor.
Configuration: Creating Actor Roles
A set of Actor Roles must be created from Reference Data before those Actor Roles can be applied to Engagement Actors.
|In Kimble’s Summer 18 Release, many org-wide configuration settings, templates, and objects have been added to the User Interface and are accessible from the existing Reference Data tab. To create an Actor Role:
- Navigate to Reference Data.
- Click Actor Roles.
- Click New (or New Actor Role in Salesforce Classic).
- Define an Actor Role Name.
- Select the DeliveryGroup (Engagement) Context Type using the Context Type
- Click .
Manage Engagement Actors
To manage Engagement Actors for a Delivery Engagement:
1. Select Engagement Actors from the Delivery Engagement menu.
The Engagement Actors details table displays all existing Engagement Actors on the Delivery Engagement.
If Engagement Actors does not appear in the Delivery Engagement menu, it might not be configured as a menu option for the Engagement’s current Delivery Stage. These can be configured by navigating to Delivery Stages. To learn more about enhancements to Delivery Stages, please refer to the Delivery Stage Management Feature Guide.
2. Click New Engagement Actor.
3. In the New Engagement Actor window, select an Actor Role from the Actor Role dropdown menu.
4. Designate the actor for this Actor Role. To do this you must either:
- select an existing Kimble User from the User
- or select an existing Salesforce Contact from the Contact
5. Click .
